Job Title: Client Coordinator Administrative Assistant
Summary:
The Client Coordinator Administrative Assistant provides essential support for client-related operations, ensuring efficiency through effective communication, data management, and interdepartmental coordination.
Responsibilities:
I. Client Communication & Support:
- Manage and respond to bidder inquiries via the MNCentral email system.
- Address incoming client leads, providing information and directing them to appropriate resources.
- Schedule client consultations and accurately input data into the BDR's Connect team schedule.
- Collaborate with Business Development Representatives (BDRs) to facilitate seamless lead handoffs.
- Prepare and distribute welcome packets and essential information to new clients.
- Confirm client appointments to ensure accurate scheduling and timely communication.
- Communicate estimated mover arrival times (ETAs) to clients.
- Conduct post-job check-ins with clients to assess satisfaction and gather feedback.
- Send automated emails announcing the start of sales.
- Address client inquiries regarding items, removal processes, and CT Bids access.
II. Data Management & Administration:
- Maintain and update the customer relationship management (CRM) system with accurate client data.
- Manage SKU printing process, ensuring accuracy and timely completion.
- Oversee inventory and stocking of CT Bids supplies at the warehouse.
- Manage credit card payment issues and other payment discrepancies.
- Review shipping details and handling procedures for accuracy.
- Manage the shipping item drop-off process.
- Maintain records and follow up with bidders using alternative pickup methods.
- Review and update sale reports to resolve discrepancies.
III. Operational Support:
- Answer calls from Maximum, providing information or transferring calls.
- Review and update sale reports to correct discrepancies.
- Reviewing Time Cards
IV. Additional Duties:
- Assist the Office Manager, CEO, or COO with other duties as assigned.
Qualifications:
- Strong organizational and communication skills
- Proficiency in Microsoft Office Suite
- Excellent attention to detail
- Ability to work independently and collaboratively
- Prior experience in customer service or administration preferred
